This is a translation. The Georgian text is the one that applies.
1. Who processes the data
Personal data on cafe.zentra.ge is processed by Zentra (zentra.ge). Contact for any data question: info@zentra.ge.
We process data under the Law of Georgia on Personal Data Protection. This policy describes what data we collect, why, how long we keep it and who we share it with.
2. The club owner's data
- First and last name, personal number, mobile phone, email; the club's name, address, opening hours and number of seats; bank account number (IBAN).
- Time of registration, IP address, time and version of consent, time of first sign-in.
- Purpose: creating and running the account, enforcing the one-trial rule, taking payments and paying money out to the club, security and fraud prevention.
- The personal number and IBAN are stored encrypted (AES-256-GCM) and shown on screen only in part. To check for a repeated personal number, an irreversible fingerprint of it is stored.
3. The club's staff data
Username, name, role, a password hash (the password itself is never stored) and a log of their actions in the panel (who did what, and when). Purpose: protecting the club's money and data, and accountability.
4. The club's customers' data
- When a customer plays or pays at a club, the following is recorded: phone number and name (if given), visits, sessions, payments, orders, discounts and balance.
- The club collects this data for its own service; Zentra stores and processes it so the system can work.
- The club must tell its customers that their data is processed in the Zentracafe system.
- Zentra Connect (voice rooms) audio is never recorded or stored; only aggregate statistics are kept.
5. Computer data (the agent)
The agent sends the panel technical data about the computer: name, MAC and local IP address, agent version, uptime, the game being played, installed games, CPU/RAM/GPU/disk load and temperature, network state and system errors. This data is used only to run sessions, show the state of the computers and make Premium modules work. The agent does not collect customers' personal files, messages or passwords.
6. How long we keep it
- An active club's data is kept for as long as the club uses the system.
- An unconfirmed registration is deleted within 24 hours.
- 30 days after an unpaid club is locked, the club's working data is deleted: rates, staff, bar, history, sessions, payments, computers, settings.
- With no time limit, and also after deletion, Zentra keeps: (a) the club's registration information (the data in section 2) to enforce the one-trial rule, prevent fraud and for financial accounting; (b) the club's customer database (phone, name, history of visits and money spent).
- Financial records are kept for the period the law requires.
7. Who we share it with
- Keepz: payment processing (amount, order number, the club's IBAN for the payout).
- Resend: sending email (the recipient's address and the message text).
- OVH (Germany): the server where the system and data are hosted.
- Public authorities: only where the law requires it.
- We do not sell data or give it to third parties for advertising.
8. Security
Connections are encrypted (HTTPS). The personal number and IBAN are encrypted in the database. Each club's data is kept apart and is not reachable by any other club. Passwords are stored only as hashes. Sign-in attempts are limited. The database is backed up every night.
9. Cookies
We use only essential cookies: the sign-in session (12 hours), a security token, and a computer identifier for the customer payment page. We use no advertising or tracking cookies.
10. Your rights
Under the law you may ask for information about the data processed about you, and for it to be corrected, deleted or its processing restricted, and you may withdraw your consent. Send requests to info@zentra.ge; we will answer within the time the law sets. A request may be limited where keeping the data is required by law, for financial accounting or to prevent fraud. You can file a complaint with the Personal Data Protection Service of Georgia.
11. Changes
The club owner is told of a material change to this policy by email or in the panel. The current version and its date are always shown on this page. If this translation and the Georgian text differ, the Georgian text prevails.
